Our Privacy Policy

What is this all about?

You’ve probably been bombarded with privacy notices for the last while, so we’ll try to keep this as simple and engaging as possible.

In a nutshell, over the last 15 years the way we use data has dramatically changed and there has been no new legislation since 2003 in response to this. The new General Data Protection Regulation (GDPR) will come into effect on Friday May 25th 2018. This will give you more insight and control in respect to your personal information – hooray!

A little bit about us...

Corporate Wellness Ireland provides wellbeing services and packages to companies and businesses around Ireland. We provide a complete range of services with the aim of creating healthy, happy and productive workforces.

At Corporate Wellness Ireland we welcome the opportunity to be transparent about how we use, store and delete all sensitive information that you share with us. Here’s how we are working behind the scenes to keep your personal data safe and secure.

What data do we collect and how do we use it?

1) Your work contact details such as your name, email and phone numbers

  • This is how we connect with you when you enquire about and/or use our services.
  • After initial contact or further communication we would like to keep you informed of updates regarding our special offers, new services, upcoming events and general information about us that we feel would be of benefit to you and your colleagues. We send this information via a monthly newsletter. You can “opt out” from receiving these mails at any time. We will not contact you without your permission.

2) Your business address

  • This is the location where our services will be offered.

3) The numbers of employees that work at that location

  • This helps us to give you informed recommendations ensuring that all employees are benefitting from your chosen services.

4) Your industry

  • We tailor all our services to suit the company’s industry.

5) Surveys

  • Some companies like their employees to fill in a staff survey to get a better idea of what services they need and want. Under no circumstances will any staff information be shared with third parties and all information is regarded as highly confidential.

6) Consultation forms

  • It is important for us that we are always working safely; therefore some of our services may require a consented form. This can include medical conditions that we take into consideration to ensure the best possible outcome of the service.

7) Feedback forms

  • Your feedback is evidence of what’s working and gives us ideas of how we can improve our services.

8) Cookies & Google Analytics

  • To help us understand and improve your website experience.

 

Who has access to your information?

Corporate Wellness Ireland consists of 8 Co-Founders, all of whom have access to general information such as contact names, emails, phone numbers and general company information.

If we are providing a service for you then we will share your contact and some company details with the therapist, instructor or facilitator who will provide the service.

Surveys may be shared with all Co-Founders. We like to bounce ideas off each other to offer a well thought out and varied service/package.

Feedback forms may be shared with all Co-Founders to continue improving all services.

Consultation forms will only be viewed by the therapist, instructor or facilitator that you work with.

We do not share information about you, your colleagues or your company with anyone else.

All your data is stored in the Republic of Ireland and we do not share your information outside of the EU.

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the website.

How is your data stored and protected?

  1. Personal laptops
    Each Co-Founder has a personal laptop that only he/she has access to. Each laptop is password protected. Passwords are updated once a month. All sensitive files are also password protected and encrypted if deemed essential. In the case of a laptop needing repairs, all sensitive information will be transferred to an USB stick which will be stored in a locked filing cabinet. Each Co-Founder will have access to their own filing cabinet only.
  2. Personal mobiles
    All Co-Founders have access to email on their work mobiles. Passwords are changed once a month on both the phone and email. In the case of a phone needing repairs, all sensitive information will be deleted.
  3. Filing Cabinet
    Each Co-Founder that keeps paper files such as consultation forms, will do so in their locked filing cabinet and only they have a key for this cabinet.

How is your data deleted?

Sensitive information is safely removed from our laptops and email once it is no longer required. Paper files are shredded. You can ask us to remove or destroy your personal information at any time.

Legal basis

Our legal basis is explicit consent. Sounds serious but essentially this means that you have given us permission to process your personal data so that we can contact and continue to communicate with you about our services.

Retention

Legally we may be obliged to keep some data such as consultation forms and record sheets for up to 7 years. We like to keep our inbox as uncluttered as possible so as soon as your information is no longer required, we will delete it but certainly within 1 year of communication.

What are your rights?

Under GDPR individuals have the following rights:

  • The right to be informed; this is your personal information and you are entitled to know what we do with it and why we do it. Hopefully this privacy policy is making all that crystal clear.
  • The right of access; you can ask to see the personal data we hold on you at any time. We will provide this information within one month and free of charge.
● The right to rectification; upon viewing your information, if you want us to update or change anything, then it’s absolutely no problem; we like things to be accurate. We are obliged to make these changes within one month.
  • The right to erasure; want us to erase your personal date completely? Consider it done.
  • The right to restricted processing; so you don’t mind us having your email address but you don’t want to receive marketing from us, that’s fine. Your preferences are noted and implemented.
  • The right to data portability; if you decide to use a different service provider then we are obliged to share information pertaining to you and your company with them if you request it.
  • The right to object; simply don’t want us to contact you any more under any circumstances? We understand and won’t communicate with you again unless you start the conversation.
  • The right not to be subject to automated decision-making including profiling; we would prefer to connect with you personally and make recommendation based on that heartfelt connection.

What if I have a complaint?

If you are not 100% satisfied with the way we are handling your personal data then you can let us know. If we do not respond within 30 days you can get in touch with the Data Protection Office.

We will process your data only in the ways have outlined in this policy and follow your lead on how we communicate with you. Maureen Simon - Team Lead

Maureen’s work has been featured in numerous printed publications including London’s Vogue, Marie Claire, Self, Women & Home, Good Housekeeping, Bay Area Business Women, Marin Independent Journal, The Financial Times, and many others. Emily Lane

Emily Lane is a speaker, teacher and conscious entrepreneur, specialising in the optimisation of human potential through awareness, wisdom, self-relationship and intentional living skills.  Her background includes over 20 years business experience, during which time she has worked in high-impact leadership roles for global organisations including but not limited to, Ericsson Networks, Intercontinental Hotels (Bass Plc), the U.N. and the world's largest online personal development company, Trans4mind Training.

Over the last decade, Emily has run her own company www.consciousleadersacademy.com, facilitating the conscious development of leaders, business professionals and those dedicated to their personal expansion. During this time she has run highly successful public programs and engaged with employees from various organisations including Google, IBM, Facebook, RTE, Bank of Ireland, Ulster Bank and many more.

Michele Ryan

Michele Ryan is an executive coach, facilitator, HR consultant and thought-partner to leaders and leadership teams in the corporate, SME and social enterprise sectors. She also leads regular workshops in Mindful Relating and Intentional Presence.

Prior to this Michele had over 25 years’ experience in indigenous and global franchised organisations including 10 years’ executive leadership team experience with McDonald’s Corporation in Ireland and the U.K. where her role was H.R. Director. She has designed and delivered innovative, successful, and award winning programmes in HR strategy, employer branding, customer experience as well as large IT infrastructural programmes. She is the proud recipient of the McDonald’s President’s Award - an accolade given to the top 1% performers in McDonald’s and is a graduate of the McDonald’s Leadership Development Programme for top talent. Prior to McDonald’s she was Senior Manager, Strategic HR with EBS Building Society.

Rosa Urtubi

Experienced in international and local business development and marketing, Rosa holds more than 25 years of top management experience in corporate positions in the pharmaceutical sector with responsibility for large marketing, sales and marketing serving as executive director on the board of directors of international companies. Rosa has been recognized for exceeding financial goals, excellence in team building, restructuring commercial teams, management of mergers, design and execution of new business models. A key to her success has been her advanced skills in team engagement which has yielded in explementary talent development and retention.

In 2013 she founded LET (Leadership & Transformation) a private consultancy for which she serves as principal. LET consultants are dedicated to conscious leadership development for executives as well as management and to the transformation of organizations and to the creation of new leadership cultures. In this capacity she advises and directs C-suit leadership development processes, business model innovation, creates women’s leadership development seminars and retreats. Personal Development

Productivity

In this interactive session participants leave the room with a tangible practical artefact that they can use, embedding the knowledge. The session covers self understanding, being more effective every day, defining your vision and values with goal setting, managing your workload, the art of prioritisation and the 4 pillars of productivity.

Motivation

So often we have the skillset or the knowledge to perform effectively, but making it happen can be a struggle. There is a plethora of reasons for this, from external distractions, to lack of appetite for the task, or lack of belief in the process or the outcome. Motivation is about re-framing perception of the attractiveness of the task, and negotiating between our conscious desire and our subconscious saboteur. Also, this programme looks at focusing on future benefits, and exercising will power wisely.

Team Building

We focus employees on their own core strengths and by taking them out of their everyday perception of what each staff member does, we develop deeper listening techniques. Most people are only focused on their own tasks, but when the horizon is expanded to a wider perception of other team members and the whole picture, we can re-engage with a different understanding of a common goal. Increased collaboration across company divisions also increases productivity.

Ordained as a OneSpirit Interfaith Minister, she combines hands on experience in sales, marketing, management and communications on many levels, combined with her passion for self development and sustainable relationships, bringing her experience of 20 years studying and practising mindfulness, focussed thinking, facilitation, and many forms of spirituality to Corporate Wellness Ireland clients in the relationship management, personal development and team building workshops. Treacy is a Trustee on the Board of OneSpirit Interfaith Foundation UK. She was a key player in the European HQ of the world’s top advertising agency, based in Paris and London over the course of 9 years. She was instrumental in sharing best practice across cultural divides, multiple communication disciplines and management levels, bringing collaboration to a world of high competition. Professionally trained in consultative selling, negotiation, presentation skills, strategic planning, business partnership, she was the driving force behind many global team building initiatives.

Massage

We generally work on the following areas; the whole back, neck and shoulders; helping to improve the posture and release tightness from sitting at the desk. The arms and hands; soothing muscles and joints from typing and repetitive movements with the mouse. We can also include the scalp and face if you feel that you will benefit; these areas can be deeply relaxing but also help to ease headaches and pain around the jaw from clenching and grinding the teeth. Each individual treatment can be tailored to suit each person’s needs on the day.

He also has a Nutritional Therapy qualification, knowing that a healthy brain is dependent on a healthy diet and digestive system. Keane works with pre and post-operative healing, and a host of other cognitive concerns, including: Altering unhealthy thinking patterns and compulsions, Developing self-esteem and inner confidence Quitting smoking, Sugar addiction, Eating disorders, and Sleep disorders. Fears and phobias, Fear of flying, and Public speaking skills, Managing stress and anxiety, Prioritising actions and goals, Relationship counselling, and many other everyday issues.

He has a wealth of professional experience and knowledge, and clients can expect an empathic, intelligent approach to their challenges. Keane has a practice in The Clinic Glenageary primary care medical centre. He frequently writes and broadcasts on Cognitive Behavioural Therapy, Hypnosis, and Mental Wellbeing. As the Counselling lead of Corporate Wellness Ireland, he also gives Positive Psychology presentations and workshops to schools, colleges, corporate organizations, and groups, on Motivation and Willpower, Food and Mood, Stress Management, and Mental Health Resilience.

The importance of image, and how we carry and present ourselves can be a huge contributor to how we feel about ourselves. Our personal self image impacts our confidence. Even at times when we are not feeling our best, we can over-ride the negativity by helping ourselves to look well. She previously sold Avon cosmetics and that is when her love for all things beauty blossomed. She decided to do a beauty therapy course and she then spotted a gap in the market and so At Home Pampering was born. Karen loves educating people on beauty whether it’s through makeup, skincare or general personal grooming. She is passionate about beauty and wellbeing and that passion is what empowers her to help people feel good about themselves. Karen has worked with a multiplicity of companies such as Bank of Ireland, Vichy, Ancestry.ie, workday and some private hospitals. Karen believes that when staff members are happy then productivity follows.
